Alumni Center Guest Experience and Sales Specialist

Position Summary

The Guest Experience and Sales Specialist is responsible for ensuring that every guest has a memorable experience from the moment they inquire about our services until their visit is complete. Reporting to the Chief Operations Officer and General Manager of the Pastides Alumni Center, this role combines guest interaction with sales and event support, requiring a balance of interpersonal skills and business acumen.

 

Accountabilities

Guest Experience (25%)

• Act as the initial point of contact for guests, ensuring all inquiries and requests are handled promptly and professionally. This position is in-person located at the front desk of the Pastides Alumni Center.

• Greet and welcome guests upon arrival, offering assistance and managing their needs to ensure a positive experience.

• Collaborate with other departments (e.g. food & beverage, events, housekeeping) to ensure seamless service.

• Coordinate tours of the venue.

Sales Support (25%)

• Capture inquiries via phone, email, and in person, providing potential clients with information about venue offerings.

• Track inquiries and responses via CRM system.

• Foster a relationship with returning clients and guests.

• Support the sales team with administrative tasks, including managing bookings, contracts, and invoices.

• Track and report on sales performance, including lead conversions, client satisfaction, and utilization.

• Monitor and maintain client satisfaction through surveys, reviews, and direct feedback.

Event Support (20%)

• Assist in the preparation and execution of events, working closely with the operations and hospitality teams to ensure all guest needs are met and expectations are exceeded.

• Handle last-minute requests or changes with a problem-solving approach.

• Manage event and facility tasks (e.g. access control, climate control, guest experience staff scheduling, wayfinding signage, etc.).

Administrative Support (20%)

• Manage administrative tasks (e.g. accounts payable/receivable reporting, receipts, check requests, mail, phone, staff meetings, etc.).

Alumni Association (5%)

• Serve as a member of the overall Alumni team by collaborating with colleagues across disciplines to develop strategies.

• Serve on committees and attend staff meetings as required.

Other Duties (5%)

• Perform other duties as required or assigned.

Basic Qualifications:

• A minimum of two years of front-facing customer service experience

• An excellent listener and strong communicator (written and verbal) to internal and external audiences and customers

• Experience or an aptitude for building relationships and partnerships with a broad range of constituencies

• Ability to have difficult conversations while maintaining a high degree of professionalism and tact

• Experience working with a CRM, Microsoft Office Suite, and related technologies is preferred

• Adaptable to new and emerging technologies as it relates to event management, facility operations, and A/V systems

• Experience working with customers to resolve issues and conflicts

• Displays sound judgment, emotional intelligence, and detail orientation

• A sense of accountability for oneself and for others as it relates to meeting commitments; inclusive style that actively solicits input from team members

• Possesses integrity, confidence, and a positive attitude

Education

An associate or undergraduate degree from an accredited institution is preferred.


Compensation

Salary will be commensurate with experience plus a comprehensive benefits package including health, dental, vision, and a 403(b) retirement plan. Other benefits include paid time off, tuition reimbursement at the University of South Carolina, and free parking at the Pastides Alumni Center.

 

Required Work Hours

Monday through Friday from 8:15 AM until 5:15 PM with a 1-hour lunch break. This position may require working evenings or weekends.
